When is the best time to travel?
A:

Japan's four seasons are famously distinct and each season offers beautiful and unique experiences.  The exact answer depends on the area of Japan, but generally speaking, the most popular times are end of March or early April and October or November for cherry blossom (sakura) season and fall foliage respectively.  To avoid the crowds, it's a great idea to consider early March, September, or December.


In Vietnam & Cambodia, the climate is very diverse. November through April is the optimal travel period given the drier season and temperate conditions. It is important to avoid travel during the Vietnamese New Year celebrations or Tet. The New Year celebrations fall in late January or early February, and many locals travel during this time, so transport and accommodation options are often full.


Taiwan's weather is warm, but still mild enough year round where we can travel throughout most seasons.


Please see our weather page for details on each season for each location. Beyond weather and sights, please keep in mind airfares will also increase during the peak seasons of summer and winter holidays. 

 

How far in advance should we reserve?
A:

Airfares fluctuate dramatically. The ideal time to make your reservations is about 4-6 months before your planned travel date.  Some tours sell out quickly, so this gives us the opportunity to ensure your tour space and find the best airfares for you.  For peak season travel (summer and winter vacation), we suggest booking at least 6-9 months in advance to find lower airfares and secure your tour space.

 

How many travelers can I expect in a tour?
A:

This depends on the season and destination; our average group size is about 20 guests with a maximum of 26.

Groups usually sell out during high demand periods such as school breaks or popular local seasons (fall foliage or cherry blossom season in Japan). In case you have any questions about the group size for any particular departure, please do not hesitate to ask.

 

I’m ready to go! How can I reserve a trip?
A:

Unlike online airfares which usually must be paid instantly, our wholesale air contracts may have more flexible deadlines, so you have time to review the details and make sure the trip we are planning is right for you.  Reserving is a simple 3-step process:

 

  1. After choosing your itinerary and dates from our website, call your travel agent to check for availability (If you do not have a travel agent, please contact us).  Please note: passport names for all guests are required to hold your space.
  2. If space is available, you will receive a formal quotation via email (within 1 business day) tailored for your travel plans.  Your reservations will be held until the deadline date shown on your quote. Deadlines are typically 2-7 days, depending on airline policies and availability.
  3. After reviewing your quotation, follow the included payment instructions to confirm your reservations. 

 

Once payment is received, you will receive your electronic travel documents within three business days.  If you have airline reservations with us, you will also receive your airline e-ticket confirmations in your travel documents.  Two weeks before departure, you will also receive a friendly reminder via email confirming your tour.


 

I’ve received a quotation, but the price is not the same as the one posted on the site. Can you tell me why?
A:

We love to save our guests money!  We will always look for the lowest available airfares at time of booking.  However, please understand airline space does tend to sell out as we near each departure date and airfares may increase depending on availability.  

 

What are the terms of payment?
A:

If you book our tours more than 60 days in advance, we hold your space with a $300 check deposit (per person). You may pay the balance 60 days before departure. If we are holding airline reservations for you, please note the payment deadline may be superseded by airline ticketing policies. If this is the case, we will let you know at the time of booking. For bookings less than 60 days before departure, please pay the full balance at the date of booking to guarantee your space.

For tour deposits, we accept check payments.  Major credit cards are accepted for the entire balance of your payment (If you pay your balance by check, a $50 discount is available per person on non-promotional reservations!)

I am purchasing an air and land package. Can I accumulate mileage for the airline reservations I have made with you?
A:

Yes, most of our airfares do accrue mileage.


However, airlines mileage policies and agreements are continuously updated, and unfortunately we cannot guarantee all private airfares will qualify for mileage accumulation.  If you have any questions about mileage accrual, please check with us at the time of booking.


If you would like us to note your airline reservations with your mileage account information, please let us know, and we will be happy to help.

 

How about airline mileage upgrades?
A:

Mileage upgrades are not generally available for our special private fares. In this case, we suggest purchasing airline tickets separately.

 

I am preparing to finalize my reservation and have been told passport copies are required to finalize the reservation. Can I avoid this requirement?
A:

Hotels in overseas countries (Japan, China, Taiwan, Vietnam) may be required by local governments to register foreign guests.  Airlines also have stiff rebooking penalties if ticketed names do not match and need to be changed.  For these reasons, passport copies are required to expedite check-in, minimize costly errors, and for air ticket name verification.


This requirement can be waived, but we ask each guest to please complete a signed waiver releasing the liability of potential fines levied by airlines (up to, but not limited to 500USD per person).  Once complete, please return this form to us along with your payment authorization instead of passport copies.

 

Passports & Visas: Is a visa required? How much can I expect to pay for one?
A:

Many countries require travelers to have at least six months of validity remaining on their passports at the time of entry.  If your passport is expiring soon, please make sure to check before finalizing your travel plans.

The following destinations do not require visas for US/Canadian passport holders: Hong Kong, Japan, Taiwan, Thailand.  For more details, please refer to the Visas section of our travel information center here.

Additionally, please remember to check visa requirements if you are stopping over to other countries on the same trip. If you are carrying passports issued by a different country, please check with your local consulate for precise details. 

 

I am traveling with my kids. Is a discount available?
A:

Yes! A 5% discount is available for children 11 and under at time of travel.  If your child does not require a bed and can share with an adult, a 15% discount is available.  


 

What about us seniors?
A:

All our guests automatically qualify for our standard low rates, but we regret extra discounts are not available.  We believe in providing our guests with the best possible value from the start without unnecessary haggling or false markups.  If you have a moment to compare our prices and quality of other similar products on the market, we think you’ll be pleasantly surprised to see our packages still come out to be at least 30%-40% more affordable.

 

But I have an odd number in my party; can you accommodate 3 people in one room?
A:

Certainly!  Triple room arrangements are available for the same price as our double-occupancy rates.  Each hotel is different, but for most of our hotels in Asia, this means you will be accommodated with a rollaway bed in a standard room.  Keep in mind rooms in Japan may be smaller than what you may expect from hotels in other countries, so please consider which arrangement would work for your personal preferences.

 

How about a single traveler?
A:

Our prices are based on double-occupancy, but we can certainly accommodate single travelers as well.  Please ask about single supplement costs for each Asia tour package.  We regret our twin-share program has been discontinued as a direct response to our guests’ feedback to maintain a high standard of quality.

 

I made a reservation but was quoted a different price than a friend who signed up for the same tour! Why is that?
A:

 We are committed to offering the best prices to our guests.  Accordingly, we will find the best airfares available at the time of booking.  Unfortunately, airline space does sell out as we near each departure date and airfares may increase depending on availability.  

 

I paid by credit card and my statement shows multiple transactions. Can you tell me why?
A:

If you booked a land & air package, credit card transactions might be split into separate charges:  a portion of the airline and a portion of the tour.  Your card may be billed under your respective carrier and/or “Airlines Reporting Corporation-/(ARC)”

 

What is “double-occupancy?"
A:

Travel is fun with a friend!  Our rates assume your reservations are made for two guests occupying one room, or “double-occupancy.”  Double-occupancy room shares the costs of hotels for both travelers.  Our standard room configuration is for a "TWN" room type which means there will be two full-size (or larger)  beds per room. In case you prefer a different configuration, please let us know. Availability will depend on each hotel and is different for each destination, but we will certainly try our best to accommodate.

 

Should I purchase travel insurance?
A:

We care for the safety and security of our guests, so we include a complimentary plan which provides coverage for Trip Interruption Trip Delay, Baggage loss or theft, Medical Expense and Evacuation and more. Click here for more information.
